A reputable organization is seeking a highly organized and detail-oriented Procurement & Inventory Coordinator to join its Operations team in Nairobi. The successful candidate will be responsible for managing end-to-end procurement processes, maintaining inventory accuracy, enforcing strong internal controls, coordinating with suppliers and finance teams, and ensuring efficient inventory management through the organization's ERP system.
Position Summary
The Procurement & Inventory Coordinator will oversee procurement activities from sourcing to purchase order issuance while maintaining accurate inventory records and ensuring compliance with company policies. The role also supports inventory reporting, supplier management, ERP system administration, audit readiness, and continuous process improvement.
Key Responsibilities
Procurement Management
- Manage end-to-end procurement for goods, raw materials, and services.
- Source suppliers, request quotations (RFQs), evaluate supplier bids, and negotiate favorable pricing and terms.
- Prepare and issue purchase orders.
- Maintain approved supplier lists, contracts, and supplier lead times.
- Ensure all purchases comply with approved budgets and authorization limits.
- Submit approved invoices and Goods Received Notes (GRNs) to Finance for payment processing.
Inventory Systems & Controls
- Record all inventory transactions within the ERP system.
- Process goods receipts and inbound supplier deliveries.
- Record inventory issues to manufacturing and other departments.
- Process stock transfers, returns, and inventory adjustments.
- Reconcile physical inventory counts with ERP records.
- Investigate inventory variances and recommend corrective action.
- Prevent unauthorized inventory transactions by warehouse personnel.
- Monitor stock levels and reorder points.
- Enforce FIFO, FEFO, and other inventory management policies.
- Minimize stock shortages and obsolete inventory.
Coordination & Reporting
- Work closely with the Manufacturing Operations Manager regarding production data.
- Coordinate with the Finance department on supplier documentation and payment follow-up.
- Monitor supplier payment status and reconcile supplier statements.
- Prepare inventory and procurement reports for management.
- Support internal and external audits.
- Identify opportunities to improve procurement efficiency and reduce operational costs.
Compliance & Process Improvement
- Ensure procurement and inventory activities comply with company policies and internal controls.
- Train warehouse and stores staff on documentation procedures.
- Resolve supplier delivery and documentation issues.
- Maintain proper procurement and inventory records.
- Recommend process improvements that enhance operational efficiency and cost savings.
Qualifications and Requirements
Applicants should possess:
- Bachelor's Degree in Supply Chain Management, Business Administration, Accounting, or a related field.
- Minimum 1–2 years of experience in procurement, inventory control, or stores management.
- Experience working in a manufacturing or distribution environment.
- Proficiency in ERP systems such as SAP, Odoo, Microsoft Dynamics, or similar.
- Strong understanding of procurement procedures and inventory controls.
- Knowledge of internal controls, segregation of duties, and audit requirements.
- Excellent analytical, organizational, and problem-solving skills.
- Strong negotiation and communication abilities.
- High level of integrity and attention to detail.
