Job Purpose

The Receptionist will be responsible for managing the organization's front office and ensuring that visitors, calls, correspondence and administrative requests are handled professionally.

The successful candidate will provide a welcoming experience to visitors and stakeholders while supporting the smooth day-to-day running of the office. The role requires excellent customer service, communication, organization and administrative skills.

Key Responsibilities

Welcome visitors, partners, stakeholders and staff in a professional and courteous manner.

Serve as the first point of contact for individuals visiting the organization.

Provide appropriate assistance and directions to visitors.

Manage the reception area and ensure it remains clean, organized and welcoming.

Answer incoming telephone calls professionally and promptly.

Screen and direct calls to the appropriate departments or individuals.

Receive and respond to routine inquiries from visitors and callers.

Handle incoming emails and direct messages to the relevant personnel.

Receive incoming mail, parcels and official correspondence.

Record and distribute incoming documents and deliveries to the appropriate recipients.

Maintain accurate visitor logs and front office records.

Schedule meetings and assist staff with meeting arrangements.

Manage meeting room bookings and ensure rooms are prepared when required.

Provide administrative support to staff and management.

Assist with general office administration and coordination.

Maintain confidentiality when handling organizational information and correspondence.

Ensure front office procedures are followed consistently.

Support other administrative duties assigned by management.

Qualifications and Requirements

Applicants should meet the following requirements:

Bachelor’s Degree in Business Administration, Office Management or a related field.

Minimum of 3 years’ experience in a receptionist, front office or similar administrative position.

Experience working in an NGO or development organization will be an added advantage.
