Job Overview

The Association for the Physically Disabled of Kenya (APDK) is seeking an experienced and highly motivated Project Accountant to join its team at the Portreiz Rehabilitation Clinic in Mombasa. This full-time onsite role is ideal for finance professionals with strong accounting expertise, ERP experience, and knowledge of donor-funded projects.

The successful candidate will oversee financial operations, maintain strong internal controls, ensure compliance with APDK policies and donor regulations, and provide timely financial reporting while supporting effective project implementation.

Position Summary

The Project Accountant will be responsible for managing project finances, preparing financial reports, supervising finance support staff, maintaining accounting records, ensuring statutory compliance, overseeing stock and asset management, and supporting annual audits. The role requires excellent analytical skills, integrity, and the ability to meet strict reporting deadlines.

Key Responsibilities

Financial Management & Reporting

  • Maintain comprehensive accounting records using the organization's ERP accounting system.
  • Extract journals, post transactions to the general ledger, and prepare accurate trial balances and management accounts by the 5th of every month.
  • Prepare monthly bank reconciliations and weekly cash flow reports.
  • Lead the preparation of annual project budgets and support departmental budget control processes.
  • Process payroll accurately while ensuring compliance with all statutory deductions and tax regulations.
  • Manage donor funds and prepare financial reports in accordance with donor requirements.
  • Prepare annual audit schedules and ensure completion by 15th January each year.

Supervision & Internal Controls

  • Supervise Accounts Assistants, Cashiers, and Stores personnel.
  • Conduct impromptu cash counts and regular stock card verification.
  • Oversee daily banking of all project collections.
  • Verify all received goods and approve Goods Received Notes (GRNs).
  • Coordinate quarterly stock-taking exercises and prepare stock variance reports.
  • Maintain optimal inventory levels and monitor stores management processes.
  • Maintain and update the Fixed Assets Register, including tagging, insurance, and annual physical verification.
  • Ensure daily system backups and bi-weekly offsite data storage for business continuity.

Qualifications and Requirements

Applicants should possess:

  • Bachelor's degree in Accounting, Finance, Commerce, or a related field.
  • Professional accounting certification will be an added advantage.
  • 3–5 years of accounting experience, preferably in project or donor-funded environments.
  • Advanced hands-on experience using ERP accounting software.
  • Advanced proficiency in Microsoft Excel.
  • Strong understanding of stores management, stock control, and inventory reconciliation.
  • Experience supervising finance and stores support staff.
  • Strong knowledge of donor financial reporting requirements.
  • High level of integrity, accountability, and professionalism.
  • Ability to work under pressure and consistently meet strict reporting deadlines.
  • Positive references from at least two previous employers.
