Job Overview
Katiba Institute (KI) is seeking to recruit a dedicated Office Assistant to support efficient office operations by performing administrative, cleaning, hospitality, and clerical duties. The successful candidate will work within the Operations Unit under the Finance and Operations Department, ensuring a clean, organized, and productive working environment.
Position Summary
The Office Assistant will be responsible for maintaining office cleanliness, providing hospitality services, supporting office administration, managing cleaning supplies, and assisting with day-to-day operational activities. The role also involves participating in organizational events while promoting a safe, clean, and professional workplace.
Key Responsibilities
Office and Facility Cleaning
- Perform daily office cleaning before staff report to work.
- Maintain a clean reception area and office environment.
- Sweep, mop, polish floors, and dust office furniture and equipment.
- Clean and maintain washrooms while ensuring hygiene standards are met.
- Complete cleaning schedules and maintain cleaning records.
- Clean office windows and support compound cleaning.
- Assist with light gardening and landscaping duties.
- Participate in monthly deep cleaning exercises.
- Support workplace health, safety, and security procedures.
Kitchen and Hospitality Support
- Prepare tea and refreshments for staff and meetings.
- Maintain cleanliness and organization of the kitchen.
- Assist with payment of general office bills.
- Manage kitchen supplies and office cleaning materials.
Waste Management and Equipment Care
- Empty office dustbins daily.
- Support recycling activities according to organizational policy.
- Store cleaning equipment properly.
- Maintain cleaning tools and report damaged equipment or office furniture requiring repair or replacement.
Administrative and Organizational Support
- Participate in selected organizational projects and events.
- Attend departmental meetings.
- Support effective coordination of office activities.
- Perform other duties assigned by management.
Qualifications and Requirements
Applicants should possess:
- Diploma or Certificate in Business Administration or a related field.
- At least three (3) years of experience in a similar administrative or office support role.
- Proven administrative or clerical experience.
- Ability to work independently and within a team.
- Ability to work effectively under pressure.
- Professional appearance and customer service orientation.
- Good organizational and multitasking skills.
- Strong problem-solving and practical decision-making abilities.
