Job Overview

A leading organization is seeking an experienced Project Accountant to oversee the financial management of a major construction project in Nairobi. Reporting to the Chief Finance Officer (CFO), with a dotted reporting line to the Project Director, the successful candidate will ensure financial integrity, compliance, accountability, and effective budget management throughout the project lifecycle.

Position Summary

The Project Accountant will be responsible for financial planning, budgeting, cash flow management, project accounting, tax compliance, procurement oversight, financial reporting, risk management, and project close-out while working closely with project teams to ensure timely and cost-effective project delivery.

Key Responsibilities

Financial Planning & Budgeting

  • Establish project cost baselines and implement budget controls.
  • Monitor budget performance and provide variance analysis with recommendations.
  • Track committed, actual, and forecasted project costs.

Cash Flow & Funding Management

  • Prepare rolling cash flow forecasts.
  • Manage project funding disbursements and liquidity planning.
  • Monitor funding against project milestones.
  • Identify liquidity requirements and support treasury planning.
  • Assess foreign exchange and inflation risks affecting project cash flows.

Cost Monitoring & Payments

  • Monitor expenditures against approved budgets.
  • Review contractor and consultant invoices, payment certificates, and supporting documentation.
  • Ensure compliance with eTIMS requirements.
  • Facilitate timely processing of project payments.

Accounting & Financial Control

  • Record project transactions accurately within ERP/FIS systems.
  • Maintain project-specific general ledger accounts.
  • Ensure timely capitalization of completed assets in accordance with IFRS.

Tax Compliance

  • Ensure compliance with Kenyan tax laws and statutory obligations.
  • Manage input VAT reconciliation, claims, and documentation.
  • Liaise with tax authorities and internal stakeholders on tax matters.

Asset Management

  • Maintain an up-to-date register of movable project assets.
  • Coordinate asset tagging, recording, and transfer to the Fixed Asset Register.
  • Ensure proper safeguarding and documentation of project assets.

Reporting & Compliance

  • Prepare monthly, quarterly, and annual financial reports.
  • Perform reconciliations between budget monitoring tools and ERP systems.
  • Support internal and external audits.
  • Ensure compliance with donor, regulatory, and internal financial policies.

Procurement & Contract Management

  • Support procurement through financial due diligence.
  • Review financial terms of contracts and monitor compliance.

Risk Management

  • Identify project financial risks.
  • Develop mitigation strategies.
  • Maintain financial risk registers.

Stakeholder Management

  • Collaborate with internal departments, contractors, consultants, donors, and project teams.
  • Provide financial insights to support strategic decision-making.

Project Close-Out

  • Coordinate project financial closure.
  • Reconcile budgets and expenditures.
  • Verify fulfillment of contractual financial obligations.
  • Prepare final financial reports.
  • Support asset capitalization and project handover.
  • Document financial lessons learned.

Qualifications and Requirements

Applicants should possess:

  • Bachelor's Degree in Accounting, Finance, or a related field.
  • CPA (K), ACCA, or an equivalent professional accounting qualification.
  • Master's Degree in Finance, Accounting, or Project Management is an added advantage.
  • Minimum 7 years of progressive accounting experience.
  • At least 3 years of experience in project accounting.
  • Proven experience managing finances for large-scale construction or infrastructure projects.
  • Experience working with donor-funded or non-profit organizations is highly desirable.
  • Strong financial analysis and reporting skills.
  • Proficiency in Microsoft Dynamics, SAP, or similar ERP systems.
  • Excellent knowledge of Kenyan tax laws and financial regulations.
  • Strong communication and interpersonal skills.
  • High level of integrity, accuracy, and attention to detail.
  • Ability to work independently and within multidisciplinary teams.
  • Kenyan citizenship.
