About the Role
The Procurement Officer will be responsible for coordinating procurement activities from purchase requisition through supplier payment. The role involves supplier sourcing, contract management, tender administration, procurement planning, ERP system management, and ensuring value for money while maintaining transparency and compliance.
Key Responsibilities
Procurement Operations
- Manage the complete procurement cycle from requisition to supplier payment.
- Process purchase requisitions and generate purchase orders using the ERP system.
- Source, evaluate, negotiate, and select suppliers to achieve the best value for money.
- Coordinate the procurement of goods and services while ensuring timely delivery.
- Track supplier deliveries and verify that goods and services meet required specifications.
Supplier & Contract Management
- Develop and maintain strong relationships with suppliers and service providers.
- Prepare and manage tender documents, quotations, contracts, and procurement records.
- Coordinate tender openings and participate in supplier evaluation processes.
- Monitor supplier performance and ensure compliance with contractual obligations.
- Maintain an updated database of pre-qualified suppliers.
- Support contract administration and vendor performance management initiatives.
Procurement Planning & Compliance
- Develop and implement procurement policies, procedures, and best practices.
- Prepare annual procurement plans and procurement forecasts.
- Ensure compliance with procurement legislation, internal policies, and governance standards.
- Identify procurement risks and recommend appropriate mitigation measures.
- Support asset disposal activities in accordance with organizational policies.
Reporting & Administration
- Maintain accurate procurement documentation for audit and compliance purposes.
- Prepare procurement reports, supplier performance analyses, and management reports.
- Work closely with the Finance team to ensure procurement activities remain within approved budgets.
- Facilitate timely supplier payments through effective coordination with relevant departments.
- Perform other procurement-related duties assigned by management.
Qualifications
- Bachelor's Degree in Procurement, Supply Chain Management, Logistics, or a related field.
- 4–5 years of experience in procurement, preferably within a manufacturing environment.
Professional Requirements
- Professional certification such as CIPS or KISM is an added advantage.
- Active membership in a recognized professional procurement body.
