Job Overview
An events company based in Nairobi is seeking a detail-oriented and reliable Accounts Clerk to support its growing Finance function.
The successful candidate will assist with invoicing, revenue tracking, petty cash management, reconciliations, expense monitoring, financial record keeping, and reporting. The role will involve working closely with the Events, Sales, Procurement, Marketing, and Operations teams to support smooth financial processes across the business.
About the Role
The Accounts Clerk will provide day-to-day accounting and administrative support while ensuring financial transactions are accurately recorded, properly documented, and handled in accordance with company procedures and internal controls.
This position is suitable for an accounting or finance professional with 1–2 years of relevant experience and a good understanding of accounting principles, invoicing, reconciliations, and financial record keeping.
Key Responsibilities
Accounting & Financial Administration
- Support day-to-day accounting operations, including invoicing, revenue tracking, payment records, and general financial administration.
- Prepare and maintain client quotations, ensuring cost information and approved pricing are accurately captured.
- Capture and maintain accurate financial records in QuickBooks, Excel, and other relevant financial trackers.
- Ensure financial transactions are properly supported, approved, recorded, and handled in line with company procedures and internal controls.
Petty Cash & Reconciliations
- Manage and maintain petty cash records and supporting documentation.
- Perform petty cash reconciliations in accordance with company procedures.
- Assist with bank, customer, and supplier reconciliations.
- Follow up on discrepancies and support timely resolution of reconciliation issues.
Event Costing & Budget Monitoring
- Support event costing and budget tracking activities.
- Monitor project expenses against approved budgets.
- Highlight budget variances and potential cost concerns to the relevant teams.
- Support the preparation of financial information relating to event profitability.
Accounts Payable & Receivables
- Track supplier invoices, payment schedules, approvals, and supporting documentation.
- Assist with accounts payable activities and supplier payment processes.
- Monitor client receivables and outstanding balances.
- Support payment follow-ups with clients where required.
Financial Reporting & Records
- Support preparation of daily, weekly, and monthly financial reports.
- Assist with reporting on revenue, expenses, and event profitability.
- Ensure financial documents and records are properly organized, updated, and easily accessible.
- Maintain accurate and complete financial records for reference and review.
Team Collaboration & Administrative Support
- Work closely with Sales, Procurement, Operations, Marketing, and Event teams to support smooth financial processes.
- Provide general administrative and clerical support to the Finance function.
- Assist with finance-related tasks and projects as assigned by management.
- Perform any other duties assigned by management.
Qualifications
- Diploma or Bachelor's Degree in Accounting, Finance, Commerce, Business Administration, or a related field from a recognized institution.
- 1–2 years of relevant experience in accounting, finance, or a related role.
- Basic understanding of accounting principles, invoicing, reconciliations, and financial record keeping.
- Experience using accounting software such as QuickBooks, Sage, Pastel, or similar systems.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
